    The primary responsibilities of the Administrative Associate position are to assist management and staff with a variety of activities, including travel coordination, general administration, visitor management, event coordination, maintaining appearance of common spaces, restocking of supplies, as well as overall studio support. The Associate is a confident and flexible team player and an ambassador of TEAGUE as a company and a brand, delivering the highest level of client care in all transactions. Success in the role requires proactive thinking and execution of tasks, planning for potential scenarios, maintaining professionalism under pressure, and the comfort and confidence to build relationships both internally and externally.

    Who We’re Looking For:

    A cheerful, flexible and unflappable professional who delights in the prospect of providing exceptional support and customer service to visitors and colleagues alike. On any given day, you may find yourself handling a multitude of miscellaneous but vital tasks: booking international or domestic travel; ordering office supplies and maintaining the stock room; supporting key clients and visitors with concierge-style customer service; offering catering support; managing the conference room calendar; reconciling expenses; and/or receiving and distributing communications. You are also responsible for travel coordination, booking and managing travel arrangements as needed; supporting the creation of travel packets and documents; and drafting and distributing communications regarding travel changes and policies.  Assist with the visitor management process, including communication, data entry, and escorting visitors to and from studios. Finally, you play a key role in event coordination, serving as the studio contact for events and celebrations; gathering information on the event; researching and providing cost estimates; and coordinating the setup, support and breakdown of those events. Most importantly, you understand your role as an ambassador for TEAGUE and are keen to model the company’s values in all your interactions. Personality-wise, you keep a cool head at all times and are skilled at prioritizing, even when you’ve got a lot of balls in the air at once. You can think fast, troubleshoot with grace, have a proactive, solution-oriented mindset, and enjoy working with people, whether it’s supporting VIP clients, caterers, the Facilities group, or any others in need of assistance with a smile.     What We Just Said, Now in 6 Bullet Points (a.k.a., Essential Qualifications):

    • Experience: Associate degree or equivalent combination of education and work experience; 5+ years experience in an administrative, customer service or coordinator role; experience with a corporate online travel management system preferred; comfortable with the dynamics of a company spread across multiple physical locations; familiar with high-end customer service and client care
    • Special skills: Advanced MS Office Suite, specifically Word, Excel, Outlook and PowerPoint; Skype and Adobe Acrobat skills; excellent communication, time management and organizational skills; valid Washington State driver’s license and access to vehicle for transporting/escorting employees and visitors
    • Physical requirements: Frequently required to sit, stand, walk, talk, hear, bend and reach; occasionally required to lift 25 pounds; must be able to work extended hours as required; must be able to travel to other TEAGUE facilities in the Seattle area
    • Passion: Making others feel welcome, supporting events and schedules, maintaining order
    • Role: Ensuring that clients are given the premium TEAGUE experience and that colleagues get the organizational support they need
    • Personality: Friendly, diplomatic, calm, organized, detail-oriented
